Privacy notice

How we collect, use and protect personal data on eshop.elkoep.qa and in the Qatar branch.

Our company uses, in its activities, personal data of clients, collaborators, business partners and persons with whom we negotiate a contract. We do not underestimate the protection of your personal data and your privacy, and we make every effort so that they are secured sufficiently. We handle personal data in compliance with the law in force.

This notice explains which personal data we collect, for which purpose, how we use them, what we do so that they are safe, and which rights you can exercise towards us. It is written for Elko EP Trading LLC, the Qatar branch office of ELKO EP. The manufacturer’s European notice remains at elkoep.com/gdpr-protection.

We process personal data in accordance with the law of the State of Qatar, including Law No. 13 of 2016 on Personal Data Privacy Protection (PDPPL), as applicable. Where we transfer data to ELKO EP s.r.o. in the Czech Republic (for example for factory warranty, stock or group reporting), that company may also process the data as a separate controller or processor under European rules. Their contacts are at the end of this notice.

Which data we collect

Without a separate marketing consent — only what we need to identify you, reply, sell and support:

  1. Identification data — name, company name, commercial registration or tax numbers, account login.
  2. Contact data — email, telephone, billing and delivery address.
  3. Purchase and cooperation data — order history, products, amounts in QAR, payment method, bank references for wire transfers, delivery notes and invoices.
  4. Messages you send through the contact form, email or telephone.
  5. Device and website data — IP address, browser, date and time of the request, pages viewed, and cookies needed for the cart, login and security of eshop.elkoep.qa.
  6. Records of rights you exercise (access, correction, deletion) and our response.
  7. Other data that a Qatari legal regulation requires us to keep (in particular accounting and tax records).

We do not ask for payment-card numbers on the e-shop today (published methods are wire transfer and cash on delivery). If a card gateway is added later, the card data will be handled by that provider, not stored in full by us.

With consent — for example newsletters or optional marketing. The scope is stated in the consent. You may withdraw it at any time. Withdrawal does not affect processing that already took place, or processing we must continue for a contract or the law.

For what purposes we use the data

We collect and process personal data for a purpose determined in advance and only to the extent required for that purpose.

Without a separate marketing consent:

  1. Performance of a contract (or steps before a contract) — quotations, checkout, delivery, warranty and after-sales support.
  2. Legal obligations — invoicing, tax and commercial-registration records in Qatar.
  3. Customer administration — answering enquiries, handling complaints, and internal reporting so we can serve you correctly.
  4. Security of the website and our systems — preventing abuse of accounts, fraud and attacks.
  5. Establishing, exercising or defending legal claims.
  6. Direct marketing of similar products or services to existing customers, until you ask us to stop. We do not sell your data to third parties for their own marketing.
  7. Improving the e-shop (cookies and similar technologies). Strictly necessary cookies for the cart and login do not require consent. You can block optional cookies in your browser; some functions may then stop working.

We do not use automated decision-making that produces legal effects about you without human review.

From what sources

Most data come directly from you: registration, checkout, contact form, email or telephone. We may also use public registers when we need to identify a company, collect a debt or check that details are current. We may receive data from ELKO EP s.r.o. or another company in ELKO EP Holding when an order, warranty or project is handled together.

Are you obliged to give us data?

You decide whether to open an account, place an order or write to us. If you do, we need the identification, contact and delivery data required to perform that request. Without them we cannot complete a sale, issue an invoice or reply properly. Marketing data beyond that are voluntary.

How we protect the data

We use suitable technical and organizational measures for the character, extent and purposes of the processing and the likely risks: access control, encrypted connections to the e-shop (HTTPS), restricted staff access and confidentiality duties. No electronic transmission is completely secure; we cannot guarantee absolute security. Processors we use are required to keep at least the same level of protection and to use the data only for the work we give them.

To whom we transfer data

  1. Processors — hosting and IT for this Odoo e-shop, email, accounting and, where used, couriers and customs brokers. They may act only on our instructions.
  2. ELKO EP Holding — in particular ELKO EP s.r.o., Palackého 493, 769 01 Holešov, Czech Republic, for factory supply, warranty assessment, product support and group administration. That transfer is outside Qatar. We share only what the purpose requires.
  3. Business partners needed to perform the order — carriers, freight and clearance agents, and the bank that receives your transfer.
  4. Advisors and authorities — lawyers, insurers, courts or Qatari authorities when the law requires it or we must protect our rights.
  5. Any other recipient you instruct or consent to.

We do not sell personal data.

How long we keep data

We keep data for as long as the purpose continues, then as long as Qatari accounting and tax rules require (order and invoice records are typically kept for the statutory retention period). After that we may keep a limited file for the time needed to deal with warranty, complaints or legal claims, and then delete or anonymize it. Marketing lists are kept until you unsubscribe; we may retain a minimal record of the unsubscribe so we can show that we respected it.

Session cookies last for the browsing session or a short period needed for the cart and login.

Your rights

Subject to the PDPPL and other applicable law, you may:

  1. ask whether we process data about you and obtain a copy and an explanation;
  2. ask us to correct or complete inaccurate data;
  3. ask us to delete data that are no longer needed, or where you have withdrawn consent and no other legal ground applies;
  4. object to processing that we carry out for our legitimate interests or for direct marketing (you can always unsubscribe from emails);
  5. withdraw a consent you gave us, without affecting earlier lawful processing;
  6. complain to the competent authority in Qatar if you believe we have not respected the PDPPL.

To exercise these rights, write to sales@elkoep.qa, or to the postal address above. Describe what you want us to do. We may need to verify that the request comes from you. There is no fee for a reasonable request.

Cookies

eshop.elkoep.qa uses cookies and similar technologies:

  • strictly necessary — session, login, shopping cart, security;
  • optional — only if enabled, for measuring visits or remembering preferences.

You can delete or block cookies in your browser. Blocking strictly necessary cookies will prevent checkout and sign-in from working.

Changes

We may update this notice when the e-shop, the law or our processes change. The current version is always this page. Effective 9 September 2026.
